1. Overview

FarmIT is an orchard management application developed by Qul Fruits, designed to help apple orchard field managers in Kashmir manage their orchards using AI-powered recommendations.

This Privacy Policy explains how we collect, use, share, and protect your personal information when you use the FarmIT mobile application.

By using FarmIT, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the application.

2. Data We Collect

2.1 Account Information

Phone number — used for login via OTP (one-time password)
Full name — your name as provided during registration
Preferred language — Urdu or English
User type — self-managed farmer or Qul-managed farmer

2.2 Orchard Information

GPS location (latitude and longitude) of your orchard
District and elevation
Apple variety, total plants, total area
Orchard age and planting date
Crop stage and yield history

2.3 Activity Data

Spray activities logged (product used, date, method)
Pruning, irrigation, and other farm activities
Schedule completion records

2.4 Photos and Voice

Photos — images of orchard buds/leaves taken for AI crop stage identification
Voice recordings — audio messages sent to FarmIT AI chat, transcribed for processing and deleted immediately after transcription

2.5 Chat Data

Messages sent to and received from the FarmIT AI assistant
Chat session history

2.6 Device Information

Firebase Cloud Messaging (FCM) token for push notifications
Device type and operating system (collected automatically by Firebase)

3. How We Use Your Data

Personalised AI recommendations — your orchard profile is used to generate accurate spray schedules, pest and disease advice, and agronomic recommendations
Spray schedule generation — orchard data is used to create a customised spray and nutrition calendar
Crop stage identification — photos you upload are analysed by AI to identify your current crop stage
Voice transcription — voice messages are transcribed to text so the AI can understand and respond in Urdu or English
Push notifications — FCM token is used to send alerts about overdue sprays, weather warnings, and important orchard tasks
Weather integration — your GPS coordinates are used server-side only to fetch real-time weather data relevant to your orchard
Service improvement — anonymised usage data may be used to improve FarmIT recommendations

We do not use your data for advertising. We do not sell your data to any third party.

4. How We Protect Your Privacy in AI Chat

FarmIT uses Claude AI (by Anthropic) to power the chat feature. We have built a privacy-first architecture to limit what data is shared with the AI:

🔒 What is NEVER sent to the AIYour full name, phone number, and exact GPS coordinates are stored in our database but are never included in any AI request. The AI only ever knows your anonymised user ID. Claude addresses you as ‘you’ — it never knows your name.
📍 Location handled carefullyYour GPS coordinates are used server-side only to fetch weather data from Open-Meteo. The AI receives only your district and elevation — enough for accurate crop advice, not enough to locate your land.
📋 Minimal context by designOur backend detects what kind of question you are asking and sends only the relevant data. Soil data is only shared when you ask a nutrition question. Yield history is only shared when you ask about harvest.

Data sent to Anthropic is processed on their US-based servers. Anthropic’s policy confirms that data sent via their API is not used to train their AI models. Data is deleted from their servers within 30 days.

5. Third-Party Services

FarmIT uses the following trusted third-party services to deliver its features. Each service has its own privacy policy.

6. Data Storage and Security

All data is stored on Supabase servers with encryption at rest (AES-256)
All data transmission uses HTTPS/TLS encryption
Row Level Security (RLS) — database rules ensure each field manager can only access their own orchard data. No cross-account visibility.
Voice recordings are processed immediately and deleted — only the text transcript is stored
Backend API keys and credentials are stored securely and never exposed in the app
Phone numbers are used only for authentication and are never shared with third parties for marketing purposes

7. Data Retention

We retain your data for as long as your account is active. Specifically:

Account data — retained until you delete your account
Chat history — retained for as long as your account is active
Activity logs — retained for as long as your account is active
Photos — retained for as long as your account is active
Voice recordings — deleted immediately after transcription, never stored
Spray schedules and orchard records — retained for as long as your account is active

When you delete your account, all personal data associated with your account is permanently deleted within 30 days.

8. Your Rights

Under applicable Indian law, including the Digital Personal Data Protection Act 2023 (DPDP Act), you have the following rights:

Access — you can view all your orchard and activity data within the app
Correction — you can update your profile, orchard details, and preferences at any time
Deletion — you can permanently delete your account and all associated data (see Section 9)
Data portability — contact us to request an export of your data
Opt out of notifications — you can disable push notifications in your device settings at any time
Nominate a representative — you may nominate another person to exercise these rights on your behalf

9. Account Deletion

You can permanently delete your FarmIT account at any time:

Open the FarmIT app
Go to Profile (bottom navigation)
Scroll to the bottom and tap Delete Account
Confirm deletion

Account deletion permanently removes: your farmer profile, all orchards, all spray schedules, all activity logs, all chat history, all alerts, and your login credentials. This action cannot be undone.

If you are unable to access the app, you may also request account deletion by emailing us at privacy@qulfruits.com.

10. Children’s Privacy

FarmIT is designed for professional orchard managers and farmers. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided us with personal information, please contact us and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will:

Update the Effective Date at the top of this page
Notify you via the FarmIT app if the changes are significant

Continued use of FarmIT after changes are posted constitutes your acceptance of the updated policy.
